Doctrina Training & Consultancy Ltd
TERMS & CONDITIONS FOR BOOKINGS

 

Any training product or service offered by Doctrina Training & Consultancy Ltd will be conducted, without exception, in accordance with these terms and conditions and any booking will be considered as an acceptance of these terms and conditions.
Booking a course
By proceeding with making a booking you are offering to reserve a place on the stated course.  This offer will be open to acceptance by Doctrina Training & Consultancy who will confirm by email within 7-10 working days of the course date.
Prices and Payment
Course Costs – course costs will be displayed on the training agreement and on the invoice.
Payment Method – the client will pay the course costs shown on the invoice by cheque to ‘Doctrina Training & Consultancy Ltd’ or alternatively by BACS as displayed on the invoice.
Payment Terms – Full payment of the course fees should be made by the client to Doctrina Training & Consultancy Ltd prior to attending the course.
Invoices – Doctrina Training & Consultancy Ltd will normally produce and distribute invoices 14 days prior to the course date, complete with payment instructions.  Invoices will show the total cost to be paid by the client.  Doctrina Training & Consultancy are not a VAT registered company; therefore VAT is exempt on all invoices.  Failure to ensure payment is made prior to the course date may regrettably result in the attendee being refused entry to the course.
Doctrina Training & Consultancy Ltd reserves the right to withhold certificates until full payment has been made by the client. 
Late payment
In the event of late payment, Doctrina Training & Consultancy Ltd reserves the right to charge interest on all outstanding amounts at the rate of 2% per calendar month or part thereof from the last date that payment was due to the date that payment is made.
Transferring courses
The following additional charges will apply if you wish to transfer your booking to a later course date:  
Transfers made after the 14 day period and up to 7 days before the course date = 40%
Transfers made between 2-7 days of the course date = 75%
Transfers made within a 48hour period of the course start date = 100%
To transfer a delegate please call us on 028 93364953.  The transfer option only relates to delegates who are transferring to a different date on the same course.  If Doctrina Training & Consultancy Ltd is notified of a transfer within the transfer period(s) shown above, it will be at the discretion of Doctrina Training & Consultancy Ltd whether the training course or seminar can be reallocated, although Doctrina Training & Consultancy Ltd will endeavour to accommodate a request for an alternative date. The original booking will remain subject to the standard transfer rules set out above.  The option to transfer delegates can only be used once, after which any movement will be considered a cancellation.  All outstanding invoices will remain due, irrespective of the number of working days notice given for the transfer.
Substituting delegates
You can transfer a place on a course to a substitute delegate free of charge at any time.  
Cancelling courses
Cancellations must be made more than 14 days prior to the course date and must be submitted in writing or by email to Doctrina Training & Consultancy Ltd.   Cancellations will be confirmed in writing along with an invoice for any fees due.  The following charges will apply if you wish to cancel a course:  
Cancellations made after the 14 day period and up to 7 days before the course date = 40%
Cancellations made between 2-7 days of the course date = 75%
Cancellations made within a 48hour period of the course start date = 100%
All public courses are run subject to demand. Doctrina Training & Consultancy Ltd reserves the right to cancel, postpone or change as necessary. 
Course dates, venues & postponement
Doctrina Training & Consultancy reserves the right to alter course dates and venues without liability. We may be required to change a course location, course date, or to postpone a course as necessary. We will endeavour to give the delegate as much advance notice as possible of any such change. If the delegate is unable to attend a course at the revised location or date, we will credit 100% of any prepaid course fees against a future course or, if requested, refund those fees. In the event of cancellation, where an alternative cannot be provided in respect of a specific course, a full refund will be offered. We cannot offer refunds for cancellations outside our control; these would include adverse weather conditions, major incident or industrial action. We will not be liable for any other costs incurred including (for example) travel charges or any consequential damages, even if we were advised of these costs.  
Course outlines
In order to respond rapidly to changes in market demand Doctrina Training & Consultancy Ltd reserves the right to alter its course content and/or trainer at any time.  

CONDUCT AND STANDARDS
Behaviour – Doctrina Training & Consultancy Ltd shall conduct themselves throughout the training process in a professional, polite and courteous manner abiding by the codes of conduct, ethical standards and recognised best practice set down and as expected for training organisations.
Dress – Doctrina Training & Consultancy Ltd trainers will dress appropriately to the subject being taught. This may vary from smart business type clothing to casual dress where subjects such as first aid and manual handling are being taught.
Standards – Doctrina Training & Consultancy Ltd maintains high standards with regard to the delivery and contents of training and the quality of training materials. In order to achieve this Doctrina Training & Consultancy Ltd ensures its trainers are qualified and up to date in the subjects they teach. Doctrina Training & Consultancy Ltd also operate an end of course evaluation form completed by each delegate which asks for the delegates opinions on the course. If clients would like copies of the evaluation forms or would like to supply their own evaluation form, they are to liaise with Doctrina Training & Consultancy to make suitable arrangements.
Copyright
Doctrina Training & Consultancy Ltd retains its intellectual property rights in all of its materials, documents and/or software, none of which may be reproduced, modified, amended, stored in any retrieval system or transmitted, in any form or by any means, otherwise than for the purpose specified by the training provider. The material described above remains with the training provider and may not be used by the client, delegate or other party for training purposes. If the training provider becomes aware of such use then legal action may be taken to stop such activity and to seek compensation.
Force Majeure
The provision of training may be totally or partially suspended by Doctrina Training & Consultancy Ltd to the extent that delivery is prevented through any circumstances beyond its control.
Limits of Liability
Doctrina Training & Consultancy Ltd entire liability for loss and damage shall be limited to a claim for damages.  The maximum aggregate liability will be the charges for the course out of which the loss or damage has arisen.
Doctrina Training & Consultancy Ltd will not accept liability for death or personal injury.
Doctrina Training & Consultancy Ltd will not be liable for indirect, special or consequential loss (including loss of anticipated profit or data), howsoever arising, even if it has been advised of such potential loss
Doctrina Training & Consultancy Ltd will not be responsible for any damage resulting from any computer viruses arising from software installed on customer computer systems.
Health & Safety
Doctrina Training & Consultancy Ltd will take reasonable steps in relation to the health and safety of Doctrina Training & Consultancy Ltd and/or delegates; however the responsibility for health and safety issues remains with the client throughout.
Complaints Procedure
Doctrina Training & Consultancy Ltd operates a ‘Complaints Procedure’ in accordance with normal business practices. This procedure is to enable clients to have a redress procedure if they are not satisfied with any of the following:

  • If the contents of a course or the training materials are incorrect or inappropriate.
  • If the duration of the course is significantly different to that invoiced.
  • If the conduct or actions by the Doctrina Training & Consultancy trainer is inappropriate or offensive.
  • If any part of the booking, supply and delivery or post course processes are not satisfactory.

This Enquiry and Complaints Procedure is limited to Doctrina Training & Consultancy Ltd who trades under the business name of Doctrina Training & Consultancy Ltd or any other authorised person operating on behalf of Doctrina Training & Consultancy Ltd.
If Doctrina Training & Consultancy Ltd fails to comply with its obligations under the Contract, the client shall advise Doctrina Training & Consultancy Ltd in writing, giving details of the reasons why it believes Doctrina Training & Consultancy Ltd has not complied with its obligations under the Contract.
Doctrina Training & Consultancy Ltd shall acknowledge the Client’s complaint in writing within seven (7) Working Days of its receipt and thereafter, reply to the complaint in full within thirty (30) Working Days of its receipt. The Parties’ day to day representatives shall use all reasonable efforts to resolve the complaint satisfactorily, however if the complaint is not resolved satisfactorily and amicably after such efforts, the Parties shall escalate the complaint to the Senior Management of Doctrina Training & Consultancy Ltd and the Client in an increased effort to resolve the complaint satisfactorily and amicably.
Variation
No variation of these terms will be valid unless evidenced in writing and signed by a duly authorised representative of Doctrina Training & Consultancy Ltd.
